Assistant Gardens and Facilities Manager

Job Description

Primary responsibility is the supervision of all full and part time gardeners, nursery workers, seasonal interns and volunteers, including training of personnel and continued development through implementation of standards, policies and procedures. Assistant Gardens and Gardens Manager is responsible for planting and maintenance of seasonal beds, containers, turf, and plant collections. Duties also include working within the scope of the appropriated budget to maintain inventory of plant materials, equipment and supplies. Assistant Gardens and Facility Manager will work closely with the Gardens and Facility Manger and other department heads to insure ongoing coordination of all business activities including education, outreach and special events.

The Assistant Gardens and Facilities Manager will be responsible, along with the Gardens Manager, for all custodial and maintenance management. This professional must have knowledge of a wide variety of custodial and maintenance processes along with experience in managing and developing hourly employees. Manger needs to have expertise in asset management and safety facility programs. This Assistant Manager, along with the Gardens Manager, will be expected to meet operating and financial goals and customer needs. Assistant, along with Gardens Manager, will be responsible for staffing, scheduling, training and development of hourly staff. Coordinate and work with outside vendors and contractors. Respond to emergency maintenance requests. Troubleshoot issues to determine cause and solution. Assist with construction project management. Maintain records and prepare reports.

Job Needs:   NC Pesticide Applicators License for Core and North Carolina Driver’s Licenses  

  • Will be responsible in assisting the Gardens Manager in creating and conducting workshops throughout the year that highlight aspects of the Gardens and design.
  • Assist in maintaining a balanced department budget.
  • Assist with, and if needed, conduct monthly department meetings and create reports from these meetings.
  • Along with Gardens Manager is responsible for driving sales of greenhouse. Assist in preparing and aiding in marketing of all sales and discount programs.
  • Assist in the Gardens with facilities work including: opening and closing duties including maintaining bathrooms, hurricane and storm clean up and special events.
  • Assist with training gardeners and nursery staff in preferred and safe work methods.
  • Recommend hiring and terminating of staff as needed. (includes full-time, part-time, seasonal, interns, and volunteers)
  • Assist manger with the scheduling of employees to provide daily coverage.
  • Oversee vacation requests for gardens and nursery staff.
  • Assist with the schedule and supervise all daily operations within the gardens and nursery.
  • Responsible for safe daily operation of the gardens including monitoring safety procedures and      providing safety training for staff.
  • Assist with the yearly reviews of all employees in the departments.
  • With manger is responsible for the appearance and upkeep of the garden walkways, fountains and statuary
  • Responsible for the daily cleaning of the public restrooms.
  • Responsible, with the manager, for purchasing of tools, equipment, garden and greenhouse supplies within the appropriated budget
  • Responsible, with the manager, for monitoring equipment expenses to stay within budget.
  • Responsible, with the Manger, for maintenance of all equipment and for keeping records of maintenance.
  • Work with Manger, Executive Director, Board and other department heads to successfully host events.
  • Assist with educational programs and tours as needed.
  • Work with other department heads, the Executive Director and the Board of Governors to  realize the mission statement of The Elizabethan Gardens.
  • Operation and utilization of landscape tools (hedge trimmers, blowers, pruners, spades, etc.)
  • Operation of small machinery as necessary (golf cart, Bobcat, mowers, chipper, tractor, cultivator, tiller, etc.)
  • Lead tours as requested and cooperate with Board, executive director and other staff to promote quality educational programming.
  • Assist with newsletter publication as needed.
  • Maintain a Safety Program for the greenhouse.
  • Maintain First Aid Station and all other supplies.
  • Work as a team with all employees.

General

  2. Ability to work an ever change schedule
  3. Ability to work in all weather and temperature conditions
  4. Experience with vehicle maintenance, mowing, construction and irrigation is a plus
  5. Work and assist in development of Intern Program

Hiring requirements: High School diploma plus B.S. in Horticulture or 4 years’ experience, current NC Driver’s License, US Citizenship. Extensive plant knowledge preferred.

Job Description

Greenhouse/Nursey Supervisor is responsible for planting and maintenance of seasonal beds, containers, turf, and plant collections. Duties also include working within the scope of the appropriated budget to maintain inventory of plant materials, equipment and supplies. Greenhouse/Nursey Supervisor will work closely with the Gardens and Facility Manger and other department heads to insure ongoing coordination of all business activities including education, outreach and special events.

Supervisor needs to have expertise in asset management and safety facility programs. The Supervisor, working with the Gardens Manager, will be expected to meet operating and financial goals and customer needs within this department. Supervisor, along with Gardens Manager, will be responsible for staffing, scheduling, training and development of hourly staff. Coordinate and work with outside vendors and contractors. Responsible for the supervision of all nursery and greenhouse operations including:

  • Training, scheduling and supervising other nursery/greenhouse staff and volunteers.
  • Maintaining all nursery/greenhouse facilities and equipment.
  • Proficient in POS systems, and general computer knowledge.
  • Sourcing, and quantifying materials.
  • Developing supporting plant material inventory for the gardens.
  • Maintaining records including but not limited to: plant inventory, propagation schedules, safety compliance, and pesticide/fertilizer.
  • Propagation and aspects of developing finished plants including potting, watering, fertilizing, pruning, and pest control.
  • Plant sales/merchandising knowledge including: pricing, signage, records of sales including developing trends, and customer assistance.
  • Conducting several workshops throughout the year that highlight aspects of plant care and design.
  • Maintain a balanced department budget.
  • Developing monthly reports for the Gardens/Greenhouse/Nursery Manager.

Additional Duties

  • Attend, monitor and provide care required to advance the life and well-being of the plants in the Garden’s greenhouse, nursery and plant sales areas.
  • Oversee staff’s care of plants
    • Water, fertilize, weed, prune, protect and control pest damage
    • “Step-up” pot-bound plants into larger containers as required
    • Propagate desired plants via seedlings, cuttings, layerings, divisions, retrieval from garden beds, etc.
    • Ensure greenhouses and cold frames are kept at the proper temperature for plant storage and/or growth.
    • Keep all plants organized and arranged in a fashion that allows for good access and care.
  • Care of greenhouses and surrounding buildings/grounds
    • Care for, clean and otherwise maintain the structures
    • Keep surrounding plant areas clean and free of weeds and debris
    • Keep equipment in good order, properly stored and cared for
  • Plant Sales
    • To provide for public sale the best plants The Gardens has available
    • Keep appropriate records of the price, number and kinds of plants sold
    • Monitor and record the numbers and kinds of plants being raised in the greenhouse/nursery area, and to propagate the necessary number for eventual sale to the public and for use in The Gardens.
    • Answer questions from staff and customers regarding the plants
    • Respond to Gate House personnel’s needs regarding plant displays, sales, care, availability, etc.
    • Maintain a plant booklet for gatehouse staff and customers
  • Safely direct, coordinate and interact with volunteers to both make best use of their time and to have them enjoy their experiences
  • Respond to the wide variety of requests for assistance by The Gardens’ administration and other departments as they arise.
  • Provide for the safety of colleagues, members of the public, and garden plants, equipment and structures in the case of severe weather or other emergency situations.
  • Interact in a positive manner with everyone, bearing in mind the overall mission of The Elizabethan Gardens.
  • Work with Gardens Manger and Executive Director to write and send out press releases to announce newsworthy activities and photo opportunities
  • Keep internal calendar updated with relevant activities
  • Work with Executive Director and department managers to set agenda for all staff meetings
  • Attend all staff meetings and provide positive input
  • Work special events as needed with other staff
  • Abide by confidentiality guidelines for all Board of Director meetings, discussions and decisions
  • Work with Gardens Manager in planning seasonal plantings and ordering of seeds and plants needed.
  • Monitor expenses on regular basis to stay within budget.
